Connect your calendar
Your hellomonday calendar can be synced to multiple calendars. If you manage a business and have multiple calendars, consider syncing them all. hellomonday will search all your calendars to find availability so participants can book an available spot!
Please note that we do not have access to personal details of your personal calendar appointments, we only see availability.
Once a participant books a session with you, a calendar appointment with a MS Teams link for your coaching session is sent to your Hudson Outlook calendar, not your other accounts.
We only support Microsoft Exchange based calendars and G-suite tools at this stage.
To sync your calendar follow these simple steps:
1. Click on the calendar icon on the left toolbar.
2. Click on the red button 'Add calendar'
3. Select the calendar you want to sync
4. Select 'Hudson Calendar'
5. Select your Hudson email address from the list of Microsoft accounts.
Look out for the green tick as confirmation of connection.
Syncing with Outlook
To sync your alternative Outlook calendars follow the steps below.
1. Select Connect to Outlook
2. Type in your email address and password to log into your Outlook Account.
For outlook calendars, you need to set up an App password (basically a one-use password so that you don't need to reveal your actual password to our system)
How to create a new app password
To create a new app password for an app or device, take the following steps. You can repeat these steps to create an app password for as many apps or devices as you need.
- Go to the Security basics page and sign in to your Microsoft account.
- Select More security options.
- Under App passwords, select Create a new app password. A new app password is generated and appears on your screen.
- Enter this app password where you would enter your normal Microsoft account password in the application.
Note: Once you have created and entered an app password for a given app or device, you usually won't need to do it again.
Syncing with Google
You will receive this warning message when connecting your Google account.
Click on "Advanced" when you see this verification warning.
We are in the process of getting Google verification and it is safe to continue.
Once you have synced all your calendars, we need to set your working hours.
You can set your work hours to be as flexible as you need them to be.
To set multiple times per day, including breaks or gaps you simply need to click on the plus button on the right-hand side.
To remove days or extra time slots you simply need to use the little red cross on the side of the day or time slot.
This function is useful if you have a portfolio business and work across several providers. You can ensure that only the days /time slots that are allocated for Hudson Coaching sessions will be accessed to search for availability.
Note: If you want to add individual timeslots in HM, you cannot have the same end time and start time. The minimum time between timeslots is 15 minutes. That’s why the system says there is an overlap between 9-10 10-11 slot.
For the system to work, you need to do: 10 - 11am and then 11:30- 12:30 and so on.
If you rather not do individual timeslots, you can create a window from 9am to 3pm in the portal and create buffers between sessions in your Hudson Outlook calendar by blocking 30-minute slots between the hour sessions you want the portal to show.
