These instructions are only for coaches who don’t have a paid personal Teams account. Teams Free is a separate, no-cost personal version for chats, video calls, and file sharing. You will need to set this up before the end of July as the Hellomonday.co MS Teams account will be closed.
Please follow the steps below to download the app and set up your free personal account.
1. Check that your device meets the system requirements.
- Teams Free works on Windows, macOS, iOS, and Android, as well as in a web browser
- If you're on a work computer, check with your IT team first, as some organisations restrict new app installations.
2. Go to the Microsoft Teams Free page to start signing up.
- Visit microsoft.com/microsoft-teams/free in your browser.
- Select Sign up for free (this starts the personal account sign-up flow, separate from a business licence).
- Tip: If you already use Outlook.com, Hotmail, OneDrive, Skype, or Xbox Live, you already have a Microsoft account — sign in with that instead of creating a new one.
3. Choose how you're signing up.
- When prompted, select Create an account (this is the free personal option).
4. Create your Microsoft account if you don't already have one.
- Enter your personal email address (preferred email shared with us), then select Next.
- A 6-digit verification code will be sent to the email, and then input it into the verification screen.
- Check the spam or junk folder of the email in case the verification code is sent there.
- Complete any final verification step (such as putting in birthday, full name, security check) if asked.
5. Download the Teams app.
- Once your account is set up, you'll be prompted to download the desktop app for Windows or macOS — select Download to install it, or choose Use the web app instead to skip installing anything.
- On mobile, download Microsoft Teams from the Google Play Store (Android) or the App Store (iOS) and sign in with the same account.
6. Sign in and complete your profile.
- Open the app (or refresh the web page) and sign in with the email or phone number you used to sign up.

How to upload your virtual background in Microsoft Teams (Free)
You'll need to do this before joining a session so your background is ready to go.
Before a meeting starts:
- Open Teams and go to your Calendar
- Find any upcoming session and click Join
- On the pre-join screen, click the Background effects button
- Click Add new and select the image you downloaded from your program's folder
- Select your background to apply it, then click Join now
During a meeting (if you need to change it):
- In the meeting window, click More actions (the three dots)
- Select Background effects
- Click Add new to upload an image, or choose one already uploaded
- Click Apply and then Done
